Administrative Assistant

TYPE: Full-time

LOCATION: 410 SW A Street (Downtown Bentonville)

SUMMARY: With limited supervision, the Administrative Assistant provides administrative and operational support by handling complex tasks and assisting with various projects based on the immediate needs. The Administrative Assistant will be required to maintain confidentiality and conduct themselves in a professional manner.

QUALIFICATIONS:

The Administrative Assistant must have excellent interpersonal, communications, and technical skills. The role requires initiative and decisiveness combined with flexibility and a capacity to give and receive feedback graciously. The ideal candidate will be a self-starter and a collaborative colleague who can work effectively in a small and dynamic office.

  • Bachelor’s degree or equivalent experience in business management

  • Minimum of 5 years’ work experience, preferably in an administrative role requiring interaction with both internal and external parties

  • Excellent written and oral communication skills, attention to detail, demonstrated capacity to meet deadlines, and a commitment to customer service

  • Proficient in QuickBooks, G Suite, Word, Excel, Outlook, and PowerPoint

  • Proven organizational and time-management skills

  • Ability to work independently and as part of a team

  • Intellectual agility and the ability to analyze, think critically, and understand emerging issues that are directly relevant to programmatic funding areas

  • Familiarity with Asana (task-management software) is a plus.

DUTIES:

  • Provide administrative support with an emphasis on organizational, time-management, and communication skills

  • Draft letters and documents, collect and analyze information, and respond to emails and other types of correspondence on behalf of the executive director

  • Assist with drafting communications to key contacts and setting agendas for upcoming meetings

  • Manage and maintain office schedule and calendar by planning meetings, conferences, teleconferences, and travel, while exercising discretion in committing team members’ time

  • Take notes during meetings and compile/organize notes for future reference

  • Create, assign, organize, and monitor tasks on Asana

  • Represent team members at meetings and relay information on behalf of team members

  • Provide direct administrative and office management support as directed

  • Oversee submission of staff timesheets

  • Reconcile invoices and file receipts

  • Other duties as assigned

PHYSICAL DEMANDS:

While performing the duties of this job, the Administrative Assistant is regularly required to stand; reach with hands and arms; use hands to finger, handle, or feel objects and/or controls; move/carry files; and sit, walk, talk, and hear. The Administrative Assistant must occasionally lift and/or move up to 25 lbs.

Specific vision abilities required to fulfill the duties of this job include close vision, the ability to perceive color, and the ability to adjust focus in order to handle extensive data collection, analysis, and summary reporting. Computer work will be a part of the daily workflow and process.
